An Overview of Medisoft Utilities
Medisoft Utilities provide users additional functionality for addressing very specific needs. These utilities are not meant to be used as part of a regular maintenance routine but used on a case-by-case basis. Before running any of the utilities, backup your Medisoft dataset.
NOTE: You cannot have Medisoft Utilities and another Medisoft program open at the same time.
Convert Audit Records
The Convert Audit Records utility converts audit records from previous versions to the new auditing format. By converting this data, users can access the auditing information in new audit reports and also save hard drive space while reducing the size of backups.
Convert Insurance and Provider Codes
The Convert Ins. Provider Codes utility converts Medisoft provider codes and Medisoft insurance codes from a numeric only code to an alphanumeric code.
Copy Data Tables
The Copy Data Tables utility provides a method to copy data from one Medisoft practice to another Medisoft practice. This utility is necessary for copying data due to the implementation of data dictionaries, which block copying. This utility is particularly helpful for VARs when creating startup data for their new practices. This utility is also helpful for Billing Services wanting to sync their data with a physician's data.

Export Data Records
The Export Data Records utility lets you export data from a Medisoft practice. You can pick and choose the tables and records that are exported. The utility then exports the data into an encrypted file that can be imported into another Medisoft practice.
Fixed Allowed Amounts
The Fixed Allowed Amounts utility modifies the allowed amount table. When a system is converted to the current version, the allowed amount may duplicate in the procedure entry window. This utility fixes the table so that you will not have duplicate entries.
Global Convert
The Global Convert utility lets you select and convert multiple practices in the same root directory to the current Medisoft version at once.

Import Data Records
The Import Data Records utility lets you import data into a Medisoft practice. First you have to create an export file using the Export Data Records utility. Then you can import that file using the Import Data Records utility.
Power Tools
The Power Tools utility lets you modify individual chart numbers, insurance codes, or procedure codes in a single practice.

Repair Currency Fields
The Repair Currency Fields utility truncates the values of every currency field in the database to two decimal points.
Repair Payment References
The Repair Payment References utility calculates the payment totals for the insurance, guarantor, and any adjustments for each charge.
Repair Practice Data
The Repair Practice Data utility repairs datasets that have missing or mismatched data. Any files that could not be restored are deleted and recreated.
Reset Accounting
The Reset Accounting utility makes a copy of the current practice to a separate directory and then removes all claims, balances, statements, and transactions from the original practice.

Update Claim Facilities
The Update Claim Facilities utility polls the transaction table for the transaction facility. The transaction facility data is then imported into the claims table as a facility value.
Medisoft Tools and Utilities
File Repair Tools
When doing data repair, there are various tools which you will need to utilize. Below is a list of some of these tools, as well as a brief description of what each tool does.
The easiest and best thing you can do for your Medisoft data is to regularly run "File Maintenance" as described below. Consider it PM for your PM!
File Maintenance: File Maintenance is available within the Medisoft program under the File Menu. The options most often used for File Repair are Rebuild Indexes, Pack Data, and Recalculate Balances.
Note: Do NOT "Purge Data" unless you really know what you're doing!

FindBadTables is a utility to see which tables in your practice are bad.
Note: It only works for Medisoft v12 and higher. (even though it says it's only for v12)
Use this to repair the tables that "FindBadTables.exe" said were bad. After running this, go back to FindBadTables.exe and verify everything is corrected.
MediUtils: MediUtils is a combination of several separate utilities into one. This utility is automatically installed when Medisoft is installed. You must have the practice username and password to use this utility.
Power Tools: This utility allows you to change the chart number for a patient. This utility is automatically installed when Medisoft is installed.
ADTFix: The ADTFix utility is only necessary if the header of a data file has become corrupted. ADTFix v1.6 can be found at devzone.advantagedatabase.com, click Code Central, then Tools, and ADTFix Delphi.

Advantage Data Architect (ARC32): ARC32 is used to open up the raw advantage data tables, and allows you to manipulate the data from outside the Medisoft program. It will also allow you to see and manipulate the data structure for Medisoft data tables. ARC32 also allows you to run SQL statements on data sets. Advantage v8 is available for download on
the VAR CD or on devzone.advantagedatabase.com. If running Medisoft v12 SP2, must update Advantage to v8.1. This can be found at devzone.advantagedatabase.com, click Product Download, then 8.1, and Advantage Data Architect.
